# Set Up Withdrawal Email Notifications

## Overview
Blockify sends emails automatically as withdrawals move through their lifecycle — starting with the acknowledgment that EU law requires. From the **Settings** page, you configure your sender address, turn each email on or off, and edit the templates.

The three customer emails — **Withdrawal acknowledgment**, **Withdrawal completed**, and **Withdrawal rejected** — are sent in the language each buyer used on the withdrawal form, while the **Withdrawal received** merchant alert stays in your admin language.

## How to choose your sender email
Step 1: Open **Blockify Withdrawal Form** → **Settings** and find the sender email section.
Step 2: By default, emails are sent from **no-reply@omegatheme.com**. To send from your own address instead, choose **Use your email as sender** and connect a provider — **Amazon SES**, **Sign in with Google**, or **SMTP** (host, port, username, app password, SSL).
Step 3: Optionally set a **Sender name**.
Step 4: Click **Send test email** to check delivery, then **Save**.

## How to turn notification emails on or off
Blockify has four notification emails. Toggle each one on or off:

| Email | Sent to | Default | Notes |

| **Withdrawal acknowledgment** | Customer | Always on | The legally required durable-medium confirmation, sent the moment a withdrawal is received. Can't be turned off. |
| **Withdrawal received** | Merchant | On | Notifies you of a new request. |
| **Withdrawal completed** | Customer | On | Sent when you mark a request as completed. |
| **Withdrawal rejected** | Customer | Off | Sent when you reject a request. |

Language: the three **customer** emails (acknowledgment, completed, rejected) are localized to the buyer's form language; the **Withdrawal received** merchant alert is not localized and stays in your admin language. See **Languages** below to manage per-language wording.

## How to edit an email template
Step 1: Click **Edit template** on any email.
Step 2: Set the **Subject line** and edit the **HTML body**.
Step 3: Insert merge tags to personalize the email: `{customer_name}`, `{order_number}`, `{item_withdrawal_details}`, `{withdrawal_date}`, `{refund_amount}`, `{store_name}` (and `{reject_reason}` for the rejection email).
Step 4: Click **Send test email** to preview, then **Save**.

| Important: The withdrawal acknowledgment is the legally required durable-medium confirmation. Keep its content clear and accurate.

## Languages
Your customer-facing withdrawal emails — **Withdrawal acknowledgment**, **Withdrawal completed**, and **Withdrawal rejected** — are sent in the language each buyer used on the withdrawal form. Every language you enable comes with a system-provided baseline translation, so emails read naturally without you writing each version from scratch. The internal **Withdrawal received** alert to you as the merchant always stays in your admin language.

**Edit a translation**
Step 1: Open **Email notification** and select a customer email (acknowledgment, completed, or rejected).
Step 2: In the **Template editor**, use the language tabs to switch between your enabled languages (your default language plus any add-on languages). The default tab is marked "Default".

Step 3: Each language shows a status badge: **System baseline** (using the bundled translation), **Customized** (you've edited it), or **Falls back to default** (no translation bundled yet).
Step 4: Edit the **Subject line** and **HTML body**. Merge tags such as `{customer_name}`, `{order_number}`, and `{reject_reason}` are the same in every language and are never translated — insert them with **Insert variable**.
Step 5: Preview each language with sample data in the **Email preview** pane, then click **Save**.
Step 6: To revert a language to the bundled translation, click **Reset to baseline**.

**When a language has no translation yet**
If you enable a language that doesn't have a bundled baseline, its tab shows a note that no translation is bundled for that language yet, that customers who choose it will receive your default template, and that you can edit below to add a translation. Add your text and **Save** to activate it.

**How the sending language is chosen**
Emails are sent in the buyer's form language. If that isn't available, the app falls back in order: order locale → your shop's default language → English. Emails are always sent — they're never blocked for a missing translation.

| The emaillanguages available here are the same set you enable for the withdrawal form — your default language plus any add-on languages. Enable a language once (see Configure the Storefront Widget Button) and it becomes available in both the form and the Email notification templates.

## Who can use this feature?
The four notification emails and the template editor are available on all plans.

Add-on languages are labeled Premium in the Template editor, but at launch they're available on all plans. Your default language and the acknowledgment email are always available.

## FAQs
1. **Can I turn off the acknowledgment email?**
No. It's the legally required durable-medium confirmation, so it's always on — but you can edit its content.

2. **Can I send emails from my own domain?**
Yes, with a custom sender (Amazon SES, Google, or SMTP). This is a Premium feature.

3. **How do I personalize an email?**
Insert merge tags like `{customer_name}` and `{order_number}` in the subject and body; they're replaced with the request's real values.

4. **How can I check an email looks right before customers get it?**
Use **Send test email** in the sender settings or the template editor to send yourself a copy.

5. **Which language are my customer emails sent in?**
The language the buyer chose on the withdrawal form; if that's unavailable, it falls back to the order locale, then your shop default, then English.

6. **Is the merchant "Withdrawal received" alert translated?**
No — it always uses your admin language.

7. **Do I have to translate every email myself?**
No. Each enabled language has a system-provided baseline you can optionally customize.

8. **How do I undo my edits to a language?**
Open that language tab and click **Reset to baseline**.
