Establish a Company in QuoteSnap B2B from QuoteSnap RFQ


When you close a quote in QuoteSnap RFQ, you can establish the buyer's Company relationship in QuoteSnap B2B directly from the quote.


Depending on the buyer's current setup, QuoteSnap can:


  • sync an existing Shopify Company to QuoteSnap B2B;
  • add the buyer to a Company already managed in QuoteSnap B2B;
  • assign the buyer to an existing Company Location;
  • create a new Location for the buyer; or
  • create a new Company if no suitable Company exists.


This lets you continue managing the buyer as a B2B customer without recreating Company information manually.

Before you start


Make sure QuoteSnap B2B is installed on your Shopify store.


If QuoteSnap B2B isn't installed, the B2B relationship section in the quote displays Install QuoteSnap B2B.



Installing QuoteSnap B2B doesn't automatically create or sync a Company.


After installation, return to the quote to continue the setup.



Start from a closed quote


To establish the buyer's B2B Company relationship:


  1. Open QuoteSnap RFQ.
  2. Open a closed quote.



  1. Find the B2B relationship section.
  2. Click Sync to B2B app.



QuoteSnap checks whether the buyer already belongs to a Shopify Company and whether that Company is already managed in QuoteSnap B2B.


The next steps depend on what QuoteSnap finds.



Choose the Company


If the buyer already belongs to a Shopify Company


If the buyer is already a member of a Shopify Company, QuoteSnap automatically uses that Company.




You don't need to select another Company or choose a Location for the buyer because the Company relationship already exists in Shopify.


Note: The buyer's existing Shopify Company relationship is used as the source of truth.


If the Company isn't yet available in QuoteSnap B2B, continue with the setup to sync it.


If the buyer doesn't belong to a Shopify Company


If the buyer hasn't been assigned to a Shopify Company yet, QuoteSnap helps you determine which Company they should belong to.


QuoteSnap may recommend a Company based on the available buyer and Company information.



A recommendation doesn't automatically assign the buyer to that Company. Review and confirm the Company before continuing.


You can:


  • confirm the recommended Company;
  • select another existing Company; or
  • click Create new company if no suitable Company exists.



Select another existing Company


If the recommended Company isn't correct:


  1. Open the Company selector.



  1. Search for the correct Company.



  1. Select the Company.



The selected Company can be:


  • a Company already managed in QuoteSnap B2B; or
  • an existing Shopify Company that hasn't been synced to QuoteSnap B2B yet.

Shopify Company not yet managed in QuoteSnap B2B




Select a Company Location


If the buyer doesn't already belong to the selected Company, choose which Company Location the buyer should belong to.


You can:


  • select an existing Location; or
  • click Create new location.



For example:


Watson Co
├── Tokyo
└── NY


If the buyer belongs to the New York office, select Watson Co NY.


The selected Location determines where the current buyer is added within the Company.


It does not limit which Company information is synced to QuoteSnap B2B.


If the Company is being synced for the first time, QuoteSnap still syncs all existing Locations belonging to that Company.


Note: You won't see this step if the buyer already belongs to the Shopify Company.



Create a new Location


If none of the existing Locations are suitable for the buyer, click Create new location.



QuoteSnap lets you configure the new Location directly from the Company setup flow.



Shipping address


Enter the shipping information for the Location.


If the current quote already contains shipping information, QuoteSnap can prefill available fields such as:


  • Country/region
  • First name
  • Last name
  • Company / attention
  • Address
  • Apartment, suite, etc.
  • City
  • Postal code
  • Phone


You can also choose whether the billing address is the same as the shipping address.


Location details


Enter:


  • Location name — required
  • Location ID — optional


The Location ID can be used for an ERP ID or another external identifier.


Customers


The buyer from the current quote is automatically added to the new Location.


Review:


  • Customer name
  • Customer email
  • Customer role


Available roles include:


  • Ordering only
  • Location admin


You can change the buyer's role before saving the Location.


Payment terms


You can optionally configure payment terms for the Location.


Available options include:


  • No payment terms
  • Due immediately
  • Net 7
  • Net 15
  • Net 30
  • Net 45
  • Net 60
  • Net 90


Checkout


You can configure whether buyers at the Location can use a one-time shipping address.


You can also choose how orders are submitted:


  • Automatically submit orders
  • Submit orders as drafts for review


Tax details


You can optionally configure:


  • Tax ID
  • Tax settings


After you click Save, the new Location is added to the Company and automatically selected for the buyer.





Create a new Company


If no existing Shopify Company fits the buyer, click Create new company.




QuoteSnap uses available information from the buyer and current quote to help you set up the Company.


You can configure:


  • Company name
  • Company ID
  • Shipping address
  • Billing address
  • Company Location
  • Location ID
  • Payment terms
  • Order submission
  • Tax ID
  • Tax settings
  • Buyer access
  • Buyer role
  • Company main contact


The current buyer is used as the Company's initial contact.


After the Company is created, QuoteSnap establishes the corresponding Company relationship in Shopify and QuoteSnap B2B.





Choose whether to sync previous quotes


When the current buyer is being added as a contact of the selected Company, you can also choose whether to update their previous quotes.



Enable Sync previous quotes to include previous quotes created by this contact before they were added to the Company.


When enabled, QuoteSnap:


  • finds previous quotes belonging to the contact being added;
  • changes those quotes from D2C to B2B; and
  • assigns those quotes to the Company selected in the current setup.


For example:


James Watson

This option only applies to previous quotes belonging to the contact being added.


It does not update previous quotes from other contacts in the Company.


Note: Syncing previous quotes changes how those quotes are classified and which Company they belong to. It doesn't change their existing quote details, products, or quoted prices.



What happens when the Company is established


What QuoteSnap changes depends on whether the selected Company is already managed in QuoteSnap B2B.


If the Company isn't in QuoteSnap B2B yet


When an existing Shopify Company is added to QuoteSnap B2B for the first time, QuoteSnap syncs the whole Company.






This includes:


  • Company information;
  • all existing Company Locations; and
  • existing Company buyers and contacts.


For example:


NorthStar Industrial
├── Chicago
├── Dallas
└── New York


If you assign the current buyer to Chicago, QuoteSnap still syncs Chicago, Dallas, and New York.


The selected Location only determines where the current buyer is assigned. It doesn't change the scope of the Company sync.


If the current buyer isn't already a member of the Company, the buyer is added to the selected Location after the Company is synced.


If the Company is already in QuoteSnap B2B


QuoteSnap doesn't sync the Company again.


What changes depends on whether the buyer is assigned to an existing Location or a new Location.


Existing Location


If the buyer is assigned to an existing Location:


  • the existing Location remains unchanged;
  • its current information and settings are preserved; and
  • the buyer is added as a contact of that Location.


No other Company or Location data is re-synced.


New Location


If a new Location is created for the buyer:


  • the new Location is added to the existing Company; and
  • the buyer is added as a contact of the new Location.


The existing Company and its other Locations remain unchanged.


If the buyer already belongs to the Shopify Company


If the buyer is already a Shopify Company member, QuoteSnap keeps the existing Shopify Company and Location relationship.


No additional Company or Location assignment is required for the buyer.


If the Company hasn't been added to QuoteSnap B2B yet, QuoteSnap syncs the whole Company.


If the Company is already managed in QuoteSnap B2B, the existing Company relationship remains unchanged.



What happens after the sync


After the Company relationship is successfully established, QuoteSnap displays a success state.



You can choose:


  • View in B2B app — open the Company directly in QuoteSnap B2B; or
  • Stay in RFQ — continue working with the current quote.


From the Company page in QuoteSnap B2B, you can manage:


  • Company information;
  • Locations;
  • buyers;
  • purchasing settings; and
  • pricing.




Pricing after Company sync


Establishing a Company from a closed quote doesn't automatically convert the quoted prices into B2B pricing.


The Company setup establishes the Company, Locations, and buyer relationships.


After the Company is available in QuoteSnap B2B, you can separately create or assign:



Quoted prices remain separate from Company pricing unless you explicitly create or assign pricing in QuoteSnap B2B.
