Email Notification
Manage and configure email notifications and templates used to send to your admin & buyers after a quote is submitted.
To connect your email account, you can choose these options:
- Sign in with Google
- Gmail SMTP
- Sign in with Office 365
- Other

To disconnect this email account, click the "Disconnect" button on the right.

Proposal email - Accept & Reject flow
The Proposal Email allows buyers to review, accept, or reject a proposal sent by a seller. It provides a simple and convenient way to take action directly from the email, helping to streamline the purchasing process.
You can setup this flow by following these steps:
- Others > Email notification > Proposal Email > Setting > Button > Select Button function: Accept & Reject quote

Regarding accept button, you can control the behaviors when a buyer clicks the Accept button:
- Direct to Checkout page: this option will help you speed up the cycle by directing customers to the checkout page to complete the payment
- Direct to Confirm page: this option will direct your customers to a confirm page

Depending on your selection, your buyer will see one of two pages below:

Regarding reject button, you will allow your buyers to submit a rejection form, then you can see the rejected reason in your quote detail timeline

You can view the rejected reason in your quote timeline
- If the rejection has a reason, you can see the button "View rejected reason"
- If the rejection doesn't have a reason, you will only see the timeline saying that the quote is rejected.

Notice:
In the case, your buyers keep clicking on the reject (after submitting the rejected reason) & accept button on the same proposal email, they will be directed to the outdated page. They can't accept then reject in the same email, and vice versa.
Customers can accept a quote multiple times within the same email. If they reject with a reason, they can only do so once. If they reject without a reason, they can still reject again from the same email until a reason is provided. Once a quote is accepted, it can no longer be rejected, and vice versa.
When a new proposal is sent, all previous proposals become outdated.

Options:
- Style β Customize fonts, colors, logos, etc.

- Content β Edit text elements and details shown
Quotation info β Show quotation info including Quotation number, Created Date, Due Date, Show discount rate, Show shipping rate,
Show assigned salesperson info, Show Tax, Show subtotal, Show grandtotal
- Show assigned salesperson info: If the quote is assigned to a salesperson, their information will be displayed. If the quote is not assigned to anyone, no information will be displayed
Customer info β Show customer info including Contact person info, Company info, Shipping address, Billing address, Payment terms, Quote inquiry info
Product info β Show product info including SKU, Variant, Wished Price, Property, Quantity, Total
Store info β Show store info including Store name, Email, Company name, Address, Zip code, Phone number, Tax number, Registration number

- Section β Add sections under your Quote PDF

- Translation β Customize PDFs effortlessly with auto language detection and tailored language versions for effective communication.
At the initiation, a default language, English, is preset. You can add 1 or more language version to the PDF template. Each language version contains a distinct list of text labels via PDF template, displayed in the form of text fields.
Add a language version
You can add 1 or more language versions by clicking on the β icon on the right of the language tabs. As a result of adding more language versions with this feature, the Quote Detail feature will present these options while you are trying to export a quote to PDF

Set a language version as default
When a language version is marked as βSet as defaultβ, it will be automatically chosen as the default language for the quote PDF when you try to export one.

Edit text labels on a language version
You can adjust or delete all text labels on the PDF template to align with the chosen language.

Auto Detect Language
When activated, this feature automatically identifies and recommends the language used by customers submitting the quote requests, during the process of exporting a quote to PDF. The language identification technique is based on the customers' locates (IP).

In the case that you are going to export the Quote PDF but your customers come from a country that you haven't set up the language, you will receive this alert

Invoice PDF
You will have options to edit Invoice PDF's content:
- Header
- Style
- Supplier
- Customer
- Salesperson
- If the quote is assigned to a salesperson, their information will be displayed. If the quote is not assigned to anyone, no information will be displayed
- Product Table
- Total
- Note
- Footer
- Section
- Translation

Multi-language invoice
You can export the PDF Invoice in your preferred languages.

How to enable multi-language invoice:
- Step 1: Turn on the Multi-language invoice by clicking "Turn on" button
- Step 2: Add the language that you want to translate > Select the language > Click Generate with AI
- Step 3: Check the generated translation and edit if it's neccesary
Note 1: Set As Default
- You can select default language by checking the "Set as default"
- The default language acts as a fallback when the PDF invoice doesnβt have a translation available for a customerβs language.
This ensures the PDF invoice is always worked properly, even if a submitted quote's language is not yet created.
- You can't delete the default language
Note 2: Turn off the multi-language PDF invoice
When you turn off the multi-language PDF invoice, you will only export the PDF invoice in the default language that is set as default
Note 3: Product Data translation
The feature won't translate the product data since it's able to managed by Shopify languages. Please go to your Shopify languages > Add and Publish language > Translate.
Note 4: We can't translate the Note's content section
Also, when you generate another language, the note content will follow the default message (language is being set as default) instead of translating the note content

Note 5: When a language has already been translated in the Invoice (for example English, French, German), you can then go to the section, click Add Section, and enter the content for that section for a language.
In this case, only that content will be shown in the new created language, others will show the "content examples" instead of applying the change to all of existed languages.
For example: You add a new section for Japansese with Japanese content, other languages such as English, German will also have a new section but not with a translated content, it will only show "content examples".

In the submission list, you can export the PDF Invoice in the language that you have set up. The feature will auto detech the language for the PDF invoice by the Shopify locales of the submitted quotes.

In the case that you haven't had that language, you will see a badge like the image below:

Sync Data & Automatically create draft order
Configure automatic synchronization of quote and customer data with third-party platforms. This ensures your systems remain up-to-date with quote activity.

1. Shopify
There are 3 settings available for Shopify integration in the application including:
- Auto create draft order: This feature helps you to convert the quote into a draft order once your deal is closed. A draft order will be auto synced in your Shopify data.

- Auto send Invoice email: **This feature helps you to automatically send invoice email **when a draft order is created

- **Sync quote info to Shopify draft order: **This feature helps you pull selected information to draft order's Note field everytime you create a draft order

2. Mailchimp
You can sync all customer's info to Mailchimp.

3. Hubspot
You can sync customer data and quote data to Hubspot

4. Other systems
You can sync data to other systems using Webhook

Other Notifications
Configure external notifications and set up quote reminder alerts.
1. Notification
This section allows you to choose a third-party platform (Slack or Telegram) to receive notifications when certain events occur.

2. Quote Reminder
This feature sends reminder emails to your email if a quote remains unchecked after a specified duration.
Select a Time Range:
Choose one of the following options based on your preference:
- No, do not remind (Default option): No reminder emails will be sent.
- 3 hours after submission: Sends a reminder email 3 hours after a quote is submitted but not reviewed.
- 6 hours after submission: Sends a reminder after 6 hours.
- 12 hours after submission: Sends a reminder after 12 hours.

Notes:
- Only one time range can be active at a time.
- Reminder emails will be sent to the registered email address associated with your account.
CSS
You can write your custom CSS by using CSS setting,

Members and permission
You can create your sales team and assign submitted quotes to them by using this feature.

- Add new member
You can input information: Name, Email, Phone, Avatar and grant them permissions (All Permisisons or Customise Permissions)
- Customise permissions includes Update/Create/Send/Export quotes, Create Draft Order, Cancle quote, Delete quote

There are four rules that you can choose:
- Auto assign to admin
The system assigns quotes to the administrator upon creation.
- System Randomly Assign
The system assigns random quotes to members when creating a quote.
- From least busy to most busy member
The system assigns quotes to members with fewer quotes automatically.
- Customize quote assignments (Based on Product / Quote / Customer)

Homepage - Members and permissions shortcut
You can also invite your team via the homepage shortcut.
- Free plan: The shortcut will be locked
- Starter plan: You will have 2 seats to invite your teammates. The assign rule will be fixed as Auto assign to Admin, and the permission is full permissions.

Quote and PDF Format
You can change the Quote ID format, and make sure to preview the change before saving

Similarly, you can change the PDF Invoice and quote format.

Lead scoring
Lead Scoring helps you automatically evaluate and rank your quote requests (leads) based on how well they match your ideal customer profile. By assigning points to specific customer properties, you can quickly identify high-potential leads and prioritize your follow-up efforts accordingly.
Lead Scoring is located under Others in your app navigation.
To create your first scoring rule, click Create lead score. Note that currently only one rule can be created, using the Fit score type.

Score Information
When creating a rule, you'll configure the following:
Rule Status Your rule is set to On by default. The toggle to turn it off is disabled during initial creation, you can adjust it after saving.
Name Give your rule a descriptive name (up to 255 characters).
Fit Score Limits This sets the maximum and minimum total score a quote can receive. Choose from:
- -100 to 100 (default)
- -200 to 200
- -300 to 300
The score limit acts as a ceiling and floor, even if a quote matches many criteria and would theoretically exceed the limit, the displayed score will never go beyond the set range.
Example: If your limit is -100 to 100, and a quote matches Property A (+80 pts) and Property B (+60 pts), the theoretical total is 140 β but the displayed score will be capped at 100.

Defining Criteria (Property Groups)
Criteria are the rules that determine how points are added or subtracted from a quote's score.
How to add a property rule:
- Select a Property Name from your quote form fields
- Choose an Option (condition)
- Enter a Value (or multiple values, separated by commas)
- Set a Point value (default is 0; integers only, no decimals)
Each property can only be used once per rule. Once selected, it will no longer appear in the dropdown list.
You can add as many property rules as needed, up to the total number of available properties.
Condition Options

Note: Multiple values in the Value field are separated by commas and evaluated as OR conditions.

Configuring Score Ranges (Settings)
In the Settings tab, you define what score ranges correspond to High, Medium, and Low lead quality.
How the ranges work:
- You set the upper threshold for High and the upper threshold for Medium
- The system automatically calculates the remaining boundaries:
- High range: your High threshold β score limit maximum
- Medium range: your Medium threshold β (High threshold β 1)
- Low range: score limit minimum β (Medium threshold β 1)
Rules for range labels:
- Each label must be unique (no duplicates across High, Medium, Low)
- Labels cannot be left blank: defaults are High, Medium, Low
- An error will appear if Score 1 is less than or equal to Score 2

AI Scoring
The AI Scoring feature helps you generate scoring criteria automatically.
- Click AI Scoring to open the modal, enter your prompt, then click Generate
- AI can generate property rules whether or not you've already filled in criteria
- If criteria already exist, generating with AI will override the existing data

Note: If a property has no value entered, AI will use "Example" as the default placeholder value.If you prompt AI for a property that already exists in your rule (exact match), it will overwrite that property's rule. If it's a new property, it will be added below the existing ones.
How Scores Appear on Quotes
Once your rule is active, all new quotes will be automatically scored. Quotes created before Lead Scoring was enabled will show a β (dash) instead of a score.
In the Quote List
- A Lead Status badge is shown directly in the list view
- Customer name and email are displayed together in a single column
In Quote Detail
- A Lead Status badge appears in the quote banner
- A Lead Scoring card is shown below the banner, including:
- The lead tier (High / Medium / Low)
- The total score
- Which properties contributed to the score (matched or unmatched)

Undefined Status
If a quote doesn't match any scoring condition, it will display an Undefined badge with the message:
"This quote doesn't match any conditions."
No badge is shown in the title when status is Undefined.
If you edit a quote, the score will recalculate automatically based on updated information.
Note
- manually created quotes and form submissions (new quotes) are scored
- The scoring rule applies to all customers
