Sync Info to Shopify Order Note / Order Tag

The Synctrack app lets you display synced information directly in the order's Notes on Shopify admin, so you and your team can see what happened to an order without leaving Shopify. Synctrack can now write three kinds of note — tracking sync, dispute opened and dispute result — and you can edit the wording of each one. Applied for Pro and above users.

Two conditions must be satisfied for information to appear as a note:

1. The event must occur after the feature is turned on — Synctrack does not add notes to orders from before that.
2. For tracking notes, the order must be synced with the tracking number successfully sent to PayPal/Stripe. For dispute notes, the dispute must belong to an order Synctrack can identify.

How to Use

Step 1: Navigate to Settings > Notifications > Shopify Order note/tag in the Synctrack app.

Step 2: In the Order note card, Turn on the toggle to write a note each time an order is synced with its tracking number.

Step 3: In the Order note — Dispute card just below, turn on Dispute opened to write a note when a buyer opens a dispute, and Dispute result to write a note when the dispute is Won or Lost. The two work independently — turn on only the one you need. This covers both PayPal and Stripe disputes.

Step 4: Edit the text of any note you turned on, then select Save.

Step 5: Review your orders from the activation date onward — the notes appear in the order's Notes card in Shopify admin.

Customize what the note says

Each note has its own editable template, so you can shorten it, remove the parts your team does not read, and write it in your store's own language. The template field appears under a note once that note is turned on.

Click a variable below the field to insert it at your cursor, or delete a variable you do not want. Select Reset to default to restore the app's original text.

Please note that the default tracking note is now a single line and no longer includes the tracking number, carrier or transaction id. If you want those in your note, add {{tracking_number}}, {{courier_name}} and {{transaction_id}} to that template.

Tag orders by event

Synctrack can also add a tag to the order for each event it performs on it. Notes are for reading the detail; tags are for filtering orders, building segments and triggering Shopify Flow. Turn on the Order tag card and select the events you want tagged — it works independently of the notes above.

Good to know

• Synctrack only ever adds to the note. Notes you wrote yourself are kept exactly as they are.
• Each event is written once. Re-syncs, repeated webhooks and app restarts never create a duplicate note.
• Editing a template applies to notes written from the moment you save. Notes already on past orders are never rewritten or removed.
• Turning a note off keeps your template, so switching it back on restores your own text rather than the default.
• A template is limited to 500 characters. An empty template, one over the limit, or one using a variable that does not belong to that note cannot be saved.
• If a variable has no value on a particular order, the whole phrase around it is removed — you never see a leftover label such as transaction id: on the order.
• If an order note is already very long, Synctrack skips the write and leaves the existing note exactly as it is.
• When a dispute ends, the won or lost tag replaces synctrack-dispute-open. Synctrack only touches tags starting with synctrack- and never changes tags you created yourself.
